What core HR software does

The digital employee file sits at the centre: master data, contracts and certificates are stored in one structured place, with access rights and retention rules. Processes that would otherwise run through email and paper build on it – joining, transfers, contract changes, leaving.

Depending on the product, there is also self-service for employees and managers, document generation with e-signature, org charts and service portals for HR requests. For many companies it is the source of record that payroll, time management and reporting draw on.

What to look for in core HR software

A system of record stays in place for years, so these points deserve a close look:

  • Scope: employee files only, or also workflows, document generation, onboarding and organisational management?
  • Company size: support for several legal entities, sites and countries, and permissions for complex structures.
  • Interfaces: connections to payroll, time tracking and directory services, plus a documented API.
  • Security and compliance: GDPR-compliant processing, retention periods, SSO, data centre location and certifications.
  • Implementation: effort for data migration and digitising paper files, support in the local language, pricing per employee or per module.

Core HR, HR Suite or Payroll?

The line to HR Suite is blurred: suites extend the system of record with recruiting, performance or learning on one platform, whereas products in this category put administration first. Payroll runs the actual pay calculation and takes its data from core HR. Time Management and Leave & Absence are often included as modules but also exist as standalone products.
